ABOUT HERMOSA

YOUR ROLE

As a Client Care Specialist at Hermosa Aesthetics, this role blends client connection with organization and intention. You will support both the front desk and the daily flow of the office, while maintaining the elevated standards of service, professionalism, and client experience that define Hermosa Aesthetics.

You will manage scheduling, assist with client communications, and help ensure the office runs smoothly, all while creating a welcoming and efficient environment for both patients and providers.

We are looking for someone who:

  • Provides excellent client service with warmth, professionalism, and attention to detail

  • Creates smooth, thoughtful, and memorable client experiences

  • Is organized, proactive, and able to manage multiple tasks efficiently

  • Maintains a calm and solutions-focused approach in a fast-paced environment

  • Works effectively both independently and as part of a collaborative team

  • Previous experience in aesthetics, wellness, or healthcare (preferred, but not required)

  • Proficient with appointment scheduling, client records, and point-of-sale platforms

  • Values intentional, high-quality care and results that enhance natural beauty

ABOUT YOU

KEY RESPONSIBILITIES

  • Greet patients warmly and maintain a professional, calm, and elevated atmosphere

  • Communicate clearly and thoughtfully with patients before, during, and after appointments

  • Provide guidance on services, treatment plans, memberships, packages, and post-care

  • Assist with follow-ups, rebooking, and fostering long-term client relationships

❋ Client Experience & Communication

  • Manage daily schedules to ensure smooth and balanced client flow

  • Confirm appointments, manage waitlists, and assist with rescheduling

  • Uphold booking, cancellation, and no-show policies with professionalism and care

❋ Scheduling & Front Office Flow

  • Perform daily restocking of front desk, treatment rooms, and client areas

  • Maintain a clean, organized, and welcoming reception space

  • Assist providers with client flow and preparation as needed

  • Support in-clinic operations to ensure each day runs seamlessly

❋ Daily Operations & Support

  • Process payments, memberships, packages, and retail sales accurately

  • Maintain client records while honoring HIPAA and confidentiality standards

❋ Administrative Excellence

  • Assist with client appreciation events, member events, and special promotions

  • Support event setup, client engagement, and post-event follow-up

  • Help foster a sense of community and connection within the Hermosa clientele

❋ Events & Community Support

  • Collaborate closely with providers and leadership

  • Anticipate needs and contribute to a calm, efficient, and supportive environment

  • Identify opportunities to elevate the client experience

❋ Team Connection

This is a part-time, in-office position with a consistent weekday schedule and one Friday per month, with an occasional Saturday. Hours may evolve as the practice continues to grow.

We are seeking candidates with open availability and a flexible mindset. Specific days and hours will be discussed during the interview process.
